Diary Manager within Human Resources
This position requires minimum CTC security clearance work on site cannot commence until security clearance is obtained.
Key Responsibilities
Dealing with diary requests/queries and arranging meetings in order of priority for HR Director and HR Leadership Team
Maintaining efficient Day File and Bring Forward systems
Arrange travel and hotel bookings
Organising and collating papers for Board meetings/Retreats/Away Days
Acting as administrator for HR Leadership Team and undertaking research, as required
Typing and text processing
Producing Expense claims ready for managers signature
Respond to straight forward internal and external queries
Provide some cover for the Office Manager as necessary
Deliverables with deadlines Urgent meetings to be set up within 24 hours
All other meeting requests to be dealt with within one week
Day File content to be prepared for beginning of each day or to be given in advance if HRD out of the office
Where possible, diary management progress to be discussed, priorities established or checked on a daily basis with HR Director
Travel/accommodation requirements to be agreed and booked two weeks in advance where possible and no later than one week in advance of event
To agree urgency of work and deadlines for all tasks undertaken and resolve conflicting priorities with HR team on a weekly basis

Essential Requirements Proven secretarial experience at Director or Senior Management level
Proven organisational skills, including the ability to manage a busy diary
Excellent interpersonal and influencing skills and ability to communicate with personnel at all levels
Ability to quickly develop and maintain good working relationships with internal and external contacts at all levels
Experience of working in a demanding environment with the ability to juggle competing priorities effectively whilst ensuring quality and standards are adhered to
Intermediate to Advanced knowledge of Microsoft Windows NT or similar software packages including MS Word, MS PowerPoint and MS Outlook.
